Initiative

Apollo Hospital, Sarjapur Road faced challenges in managing daily operational performance through manual reporting, spreadsheets, emails, and phone calls.

These fragmented processes resulted in delayed identification of operational issues, inconsistent communication across departments, limited leadership visibility, and inadequate tracking of corrective actions.

Critical concerns related to patient safety, infection control, equipment downtime, pending discharges, and turnaround times were often escalated late, affecting timely decision-making and operational efficiency.

The absence of a centralized digital platform made it difficult to monitor key performance indicators (KPIs), assign accountability, track action closure, and ensure standardized reporting.

To address these challenges, the hospital identified the need for a real-time digital solution that could integrate operational and quality indicators, support structured Tiered Huddles, enable rapid issue escalation, and provide leadership with actionable insights for data-driven decision-making while strengthening patient safety and continuous quality improvement.

Objectives

Apollo Hospital developed an in-house Digital Tiered Huddle Dashboard using cloud-based reporting tools integrated with departmental data collection.

The platform provides real-time monitoring of operational and quality KPIs, including bed occupancy, admissions, discharges, emergency census, infection control indicators, patient safety incidents, equipment downtime, and turnaround times.

Departments record daily operational issues, assign action owners, monitor progress, and escalate critical concerns through structured Tiered Huddles.

The dashboard features mobile accessibility, automated data visualization, color-coded alerts, audit trails, historical trend analysis, and paperless reporting.

It serves as a centralized command centre that supports leadership decision-making, improves accountability, and enhances operational transparency.

Methodology

The implementation was completed in a phased manner over approximately 12 weeks.

The project began with stakeholder consultation and KPI finalization, followed by dashboard development, pilot testing, user training, hospital-wide rollout, and continuous monitoring.

Staff from all clinical, nursing, operations, quality, infection control, biomedical engineering, pharmacy, laboratory, radiology, housekeeping, and support departments were trained to use the dashboard and participate in daily Tiered Huddles.

The initiative was led by the Quality Department with active support from hospital leadership, department heads, IT, and operational teams.

Internal champions from each department ensured daily data entry, issue escalation, and action tracking.

Continuous feedback and periodic improvements enhanced usability, resulting in improved compliance, faster issue resolution, better communication, and sustainable adoption across the hospital.

Results and Impact

The Digital Tiered Huddle Dashboard transformed daily hospital operations by providing real-time visibility of operational and quality indicators.

It eliminated dependence on manual spreadsheets and emails, improving documentation accuracy, communication, and accountability across departments.

Leadership gained instant access to key performance indicators, enabling faster decision-making and timely escalation of patient safety concerns.

The initiative reduced delays in issue resolution, improved monitoring of infection control indicators, equipment downtime, pending discharges, and turnaround times, while strengthening compliance with NABH standards.

Standardized digital reporting enhanced audit readiness, improved multidisciplinary collaboration, and supported continuous quality improvement.

The paperless, cloud-based platform also reduced administrative effort and created a sustainable framework for performance monitoring.

Departmental champions ensured accurate data entry and timely issue updates, while the Quality and IT teams continuously refined the dashboard based on user feedback.
